Please read these Terms and Conditions carefully before placing a booking. By booking a course through CourseGenie, you confirm that you have read, understood, and agreed to be bound by these Terms and Conditions, including the Privacy Policy set out in Section 13.

1. Definitions

For clarity and to avoid ambiguity, the following terms are defined as follows:

CourseGenie / we / us / our: Course Genie Limited, the operator of the booking platform at coursegenie.co.uk.

Client / you / your: The individual or organisation placing a booking through CourseGenie and responsible for payment and contractual obligations.

Delegate: The individual attending the training course. The Delegate may or may not be the same person as the Client (for example, where a company books on behalf of an employee).

Training Provider: The accredited training organisation that delivers the course you book through CourseGenie. CourseGenie partners with training providers across the United Kingdom.

Course: Any training programme listed on CourseGenie, including but not limited to CITB Site Safety Plus (SMSTS, SSSTS), IOSH Managing Safely, NEBOSH National General Certificate, National Vocational Qualifications (NVQs), EUSR, SHEA, first aid, working at height, plant operator training, and other health, safety, or construction-related courses, delivered in person or online.

NVQ: National Vocational Qualification, a work-based, competency-based qualification assessed through a portfolio of evidence, professional discussions, and written assessments, accredited by recognised awarding bodies such as ProQual, City and Guilds, NOCN, or ECITB.

Booking: The process of reserving a place on a course through our website (coursegenie.co.uk), by phone (0333 444 0187), or by email (bookings@coursegenie.co.uk).

Awarding Body: The accredited organisation responsible for issuing the qualification or certificate, such as CITB, IOSH, NEBOSH, City and Guilds, ProQual, NOCN, ECITB, or IEMA.

2. Our Role

CourseGenie operates as a booking platform connecting customers with accredited training providers across the United Kingdom. When you place a booking with us, that booking is fulfilled by the relevant Training Provider, who is responsible for delivering the course and arranging certification through the appropriate Awarding Body.

These Terms and Conditions govern your relationship with CourseGenie. Your attendance on the course itself may also be subject to the Training Provider's own rules, which will be communicated to you in your joining instructions.

3. Booking and Payment

3.1 Booking Process

Bookings may be placed via our website (coursegenie.co.uk), by phone (0333 444 0187), or by email (bookings@coursegenie.co.uk).

A booking is confirmed only upon receipt of full payment, or upon receipt of an approved purchase order for corporate clients with pre-agreed credit terms, subject to availability at the relevant Training Provider.

Upon confirmation, we will send a booking confirmation email containing your booking reference, course dates and times, venue or online joining details, and any pre-course requirements (for example, a valid CITB Health, Safety and Environment Test result where applicable).

3.2 Payment Terms

All course fees are quoted in British Pounds (GBP) and exclude Value Added Tax (VAT), which is charged at the prevailing UK rate (currently 20%) at the time of payment.

Full payment is required at the time of booking unless otherwise agreed in writing. For corporate clients with a pre-approved credit account, payment terms may extend to 30 days from the invoice date.

For NVQ courses, payment in full or a non-refundable deposit (as specified at the point of booking) is required to secure registration with the Awarding Body.

3.3 Accepted Payment Methods

We accept major debit and credit cards through our secure payment provider, Stripe.

Approved corporate clients may also pay by invoice, subject to written agreement and successful credit checks. Bank transfer details will be provided on the invoice.

We do not accept cash, cheques, or cryptocurrency under any circumstances.

3.4 Course Materials

Course materials, including any digital or printed handouts, workbooks, and access to e-learning platforms, are provided by the Training Provider as required for the course.

Delegates are responsible for ensuring they have access to these materials throughout the course and for retaining them for reference or assessment purposes.

Where additional materials are requested outside the standard course provision, any extra charges will be communicated in advance.

3.5 Price Changes

We reserve the right to adjust course fees at any time before a booking is confirmed.

Once a booking is confirmed, the agreed fee will not change unless additional services are subsequently requested by the Client.

Promotional offers and discounts are subject to specific terms, cannot be combined unless explicitly stated, and cannot be applied retroactively to bookings already placed.

3.6 Special Requirements

Delegates with specific needs, such as accessibility accommodations, language support, or medical requirements, must notify us at the time of booking so that appropriate arrangements can be made by the Training Provider.

We and our Training Providers will make reasonable adjustments in accordance with the Equality Act 2010, provided sufficient notice is given (at least 14 days before the course start date).

Failure to disclose such requirements may mean a Delegate is unable to fully participate, and no refund will be provided in those circumstances.

4. Course Cancellations

4.1 Cancellations by the Client

All cancellation requests must be submitted in writing to bookings@coursegenie.co.uk.

Cancellations communicated by phone must be followed by written confirmation within 24 hours to be valid.

The following cancellation fees apply, based on the notice period provided:

Non-attendance without prior written cancellation will result in a 100% charge of the course fee, with no refund or credit issued.

NVQ course bookings are non-refundable due to the personalised nature of registration with the Awarding Body and the assessment process. Alternative arrangements, such as rescheduling assessment milestones, may be considered at the sole discretion of the Training Provider, subject to additional fees.

4.2 Cancellations by CourseGenie or the Training Provider

We or the Training Provider may need to cancel or postpone a course due to unforeseen circumstances, including but not limited to insufficient enrolment, trainer illness, adverse weather, technical issues affecting online courses, or venue unavailability.

If your course is cancelled, you will be notified as soon as practicable and offered either a full refund or a free transfer to an alternative course date or venue of equivalent value.

We are not liable for any indirect or consequential losses incurred by the Client or Delegate (for example, travel costs, accommodation, or loss of earnings) arising from course cancellations or changes.

4.3 Cancellation Due to Non-Compliance

A Delegate's place on a course may be cancelled if they fail to meet course prerequisites (for example, a valid current certificate for a refresher course) or breach the Delegate Responsibilities outlined in Section 8.

In such cases, no refund or credit will be provided.

Any Delegate who submits falsified, altered, or otherwise invalid certification or identification in order to gain access to a course will forfeit the full course fee, their booking will be cancelled, and no refund or credit will be issued under any circumstances.

5. Course Transfers

5.1 Transfer Requests by the Client

Delegates may request to transfer to a different course date, programme, or venue by submitting a written request to bookings@coursegenie.co.uk.

Transfer requests are subject to availability at the Training Provider and to the following fees, based on the notice period provided:

Transfer fees are calculated on the standard course fee and are not applicable to any discounts already received.

Transfers for NVQ courses are not permitted once registration with the Awarding Body has been completed, due to the tailored nature of the assessment process. Alternative arrangements may be considered at the sole discretion of the Training Provider, subject to additional fees.

5.2 Transfers Initiated by Us or the Training Provider

Where we or the Training Provider need to change a course date, time, or venue, the affected Delegate will be offered a free transfer to an alternative date, time, or venue of equivalent value.

If no suitable alternative is available, the Client may request a full refund, which will be processed within 14 working days.

We will provide at least 7 calendar days' notice of any change, except in cases of unforeseen circumstances.

5.3 Delegate Substitutions

Clients may substitute one Delegate for another on the same course and date, subject to written notification to us at least 24 hours before the course start date.

Substitutions are subject to the replacement Delegate meeting all course prerequisites. No additional fee will apply for substitutions provided all requirements are met.

6. National Vocational Qualifications (NVQs)

6.1 NVQ Overview

NVQs are competency-based qualifications designed to demonstrate a Delegate's skills and knowledge in a specific occupational area. NVQs available through CourseGenie include qualifications at various levels in construction, plant, site management, and related occupations.

NVQs are assessed through a portfolio of workplace evidence, professional discussions, and written assessments, in accordance with the requirements of the relevant Awarding Body.

6.2 Entry Requirements

Most NVQs have no formal entry requirements, but Delegates must have access to a relevant workplace environment to gather evidence of competency.

Specific NVQs, such as those required for a Construction Plant Competence Scheme (CPCS) card, require a valid CITB Health, Safety and Environment Test taken within the last two years.

Delegates must confirm their eligibility with us at the time of booking to ensure compliance with Awarding Body requirements.

6.3 Assessment Process

The Training Provider will assign a qualified assessor to guide each Delegate through the NVQ process, including compilation of a portfolio of evidence (for example, witness testimonies, site documentation, and health and safety records).

Knowledge-based units may require written assignments, recorded discussions, or online assessments, as specified by the Awarding Body.

Typical completion time for an NVQ is 6 to 12 weeks, depending on the Delegate's availability, the complexity of the qualification, and timely submission of evidence.

Delegates are responsible for providing sufficient and authentic evidence, as verified by the assessor and the Training Provider's internal quality assurance processes.

6.4 Certification

On successful completion and internal verification, NVQ certificates are issued by the relevant Awarding Body. Digital certificates are typically issued within 4 to 6 weeks of portfolio submission.

Certificates are valid for life unless otherwise specified by the Awarding Body.

Hard-copy certificates may be requested for an additional fee, subject to the Awarding Body's policies.

6.5 Non-Transferable and Non-Refundable

Due to the personalised nature of NVQ assessments and the cost of registration with the Awarding Body, NVQ bookings are non-transferable and non-refundable.

Once an NVQ has been registered with the Awarding Body and a deposit paid, no refunds will be issued under any circumstances, including but not limited to withdrawal, non-completion, or failure to meet assessment criteria.

Alternative arrangements, such as rescheduling assessment milestones or extending submission deadlines, may be considered at the sole discretion of the Training Provider, subject to additional fees and Awarding Body approval.

6.6 Delegate Responsibilities for NVQs

Delegates must actively engage with their assigned assessor, respond to feedback, and submit evidence within agreed timelines.

Failure to provide sufficient evidence or meet assessment deadlines may result in non-certification, with no refund or credit provided.

Delegates must ensure their workplace evidence complies with all relevant health and safety regulations and Awarding Body standards.

7. Course Delivery and Certification

7.1 Delivery Methods

Courses listed on CourseGenie are delivered in person at training centres across the United Kingdom, online via the Training Provider's secure e-learning platform, or remotely through live tutor-led sessions using video conferencing tools.

Delegates attending online or remote courses must have a suitable device (laptop or computer with a stable internet connection, webcam, and microphone) and a quiet, distraction-free environment.

In-person courses are subject to venue-specific health and safety protocols communicated by the Training Provider, which Delegates must follow at all times.

7.2 Certification

On successful completion of a course, Delegates receive a certificate issued by the relevant Awarding Body. Some certificates are issued digitally, others as hard copies, depending on the course and Awarding Body requirements.

CITB certificates are valid for five years and may require a refresher course to maintain validity. Other certificates have validity periods set by the relevant Awarding Body.

Certificate issuance timeframes vary by Awarding Body. Digital certificates are typically issued within 2 to 4 weeks of course completion. Hard-copy certificates may take longer (for example, NEBOSH certificates can take up to 12 weeks).

Replacement certificates may be requested for an additional fee, subject to Awarding Body policies.

7.3 Attendance and Participation

Delegates must attend all required course sessions and complete all assessments to achieve certification.

For multi-day courses, absence from any session may result in non-certification, with no refund provided.

Delegates are expected to actively participate, complete pre-course work where applicable, and adhere to assessment deadlines.

7.4 Assessment Appeals

If a Delegate disagrees with an assessment outcome, an appeal may be submitted in writing to bookings@coursegenie.co.uk within 14 days of receiving the result. We will forward the appeal to the relevant Training Provider, who will review it in accordance with the Awarding Body's guidelines and respond within 21 working days.

8. Delegate Responsibilities

8.1 Conduct

Delegates must behave professionally, respect fellow participants and trainers, and comply with health and safety regulations during all in-person or online sessions.

Disruptive behaviour, including but not limited to harassment, discrimination, or non-compliance with instructions, may result in removal from the course without a refund.

8.2 Technical Requirements

For online or remote courses, Delegates are responsible for ensuring a stable internet connection, a compatible device, and any required software.

Neither CourseGenie nor the Training Provider is liable for technical issues on the Delegate's end that prevent participation or completion.

8.3 Language Proficiency

A good standard of spoken and written English is required for all courses, as the majority are delivered and assessed in English.

Delegates requiring language support, such as interpreters or translated materials, must notify us at least 14 days before the course start date. Additional fees may apply.

8.4 Course Prerequisites

Delegates must meet all course prerequisites, such as prior qualifications or valid test results, as specified on our website or in the booking confirmation.

Failure to meet prerequisites may result in exclusion from the course, with no refund provided.

9. Liability and Disclaimers

9.1 Limitation of Liability

Our total liability arising out of or in connection with a booking is limited to the course fee paid by the Client.

We are not liable for any indirect, consequential, or incidental losses (for example, travel costs, accommodation, or loss of earnings) arising from course cancellations, postponements, or changes.

We are not responsible for loss of or damage to personal belongings during in-person courses.

Nothing in these Terms and Conditions excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under UK law.

9.2 Third-Party Providers

CourseGenie partners with accredited Training Providers for course delivery. While we apply reasonable care in selecting and presenting Training Providers, we are not directly responsible for the content delivered or venue conditions provided by the Training Provider.

Any issues with a Training Provider will be addressed promptly, with CourseGenie acting as an intermediary to help resolve the matter.

9.3 Force Majeure

We are not liable for any failure to perform our obligations due to events beyond our reasonable control, including but not limited to natural disasters, government restrictions, strikes, pandemics, or technical failures.

In such circumstances, we will offer a transfer or refund as described in Section 4.2.

10. Intellectual Property

All course materials, including handouts, presentations, e-learning content, and assessments, are the intellectual property of the Training Provider, the Awarding Body, or their licensors.

Delegates may use materials solely for personal study and certification purposes. Reproduction, distribution, or sharing of materials without written permission is strictly prohibited and may result in legal action.

The CourseGenie name, logo, website design, and platform content are the intellectual property of CourseGenie Limited.

11. Data Protection

11.1 Data Handling

We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Personal information provided during booking (such as name, contact details, and workplace information) will be used for course administration, certification, and communication purposes.

Data is shared with the Training Provider for the purpose of delivering the booked course, and with the Awarding Body for the purpose of issuing certification, as required by their regulations.

11.2 Marketing Communications

You may opt in to receive marketing communications such as newsletters or course discounts at the time of booking or by subscribing on our website.

Consent can be withdrawn at any time by emailing bookings@coursegenie.co.uk or using the unsubscribe link in any marketing email.

11.3 Data Security

We employ industry-standard security measures to protect personal data. Delegates remain responsible for securing their own devices and login credentials for any online course platform.

12. Complaints and Disputes

12.1 Complaints Procedure

Any complaint regarding course delivery, content, or other issues should be submitted in writing to bookings@coursegenie.co.uk, or by phone on 0333 444 0187, within 14 days of the course or the incident.

We will acknowledge your complaint within 10 working days and aim to provide a full resolution within 21 working days. Where a complaint relates to course delivery, we will work with the Training Provider to investigate and resolve it.

12.2 Dispute Resolution

Disputes arising from these Terms and Conditions will be governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.

We encourage informal resolution before escalating to legal proceedings.

13. Privacy Policy

14. Amendments to Terms

We reserve the right to amend these Terms and Conditions at any time to reflect changes in business practices, legal requirements, or Awarding Body regulations.

Updated Terms and Conditions will be published on our website and apply to all bookings made after the effective date.

Clients and Delegates will be notified of significant changes that affect confirmed bookings.

15. Refunds and Cancellations Summary

NVQ bookings are strictly non-refundable in all circumstances due to registration and assessment costs.

Transfers to alternative dates are permitted but may incur fees depending on the notice period, as set out in Section 5.

Delegates who fail to meet mandatory prerequisites, or who provide forged, altered, invalid, or misleading documentation, forfeit the full course fee with no refund or credit.
